Professional
Participants are expected to communicate and behave in a way appropriate to a senior professional setting.
Inclusive
Different sectors, disciplines, backgrounds, experiences and viewpoints should be treated with dignity and respect.
Safe
Harassment, intimidation, threats, unwanted conduct and behaviour that creates a safety risk are not permitted.
01Expected behaviour
- Treat participants, staff, contractors, venue personnel and guests with dignity and professional respect.
- Engage across differences of expertise, status, sector, identity and viewpoint without hostility or ridicule.
- Respect personal boundaries, accessibility needs and privacy preferences.
- Respect requests to stop unwanted contact or communication.
- Use language and behaviour appropriate to a senior professional setting.
- Allow others to participate without intimidation, interruption or exclusion.
- Follow the event’s Public Participation, Private Discussion requirements and respect the photography, privacy and identification preferences of other participants.
- Follow moderator, event-team, security and venue instructions.
- Raise concerns in good faith and do not retaliate against anyone who raises or supports a concern.
02Unacceptable behaviour
- Harassment, discrimination, bullying, intimidation, stalking, threats or abusive conduct.
- Derogatory, demeaning or hostile remarks relating to a protected characteristic, personal identity, disability, background or professional status.
- Unwanted sexual attention, sexualised comments, inappropriate physical contact or repeated unwanted approaches.
- Personal attacks, shouting, aggressive confrontation, persistent interruption or deliberate disruption.
- Retaliation against a person who raises a concern or supports another participant in doing so.
- Unauthorised photography, audio or video recording, livestreaming, transcription, AI-assisted note-taking or capture of private notes, screens or materials.
- Quoting, summarising, paraphrasing, attributing or independently reporting the substance of the Think Tank discussions.
- Posting or tagging an identifiable participant without their permission, or misusing participant names, contact details, images or personal information.
- Any deliberate breach of the Public Participation, Private Discussion requirements.
- Aggressive commercial solicitation or behaviour that turns the event into a sales environment.
- Conduct that creates a safety, security or venue risk.
03Public participation, private discussion
Participants may publicly acknowledge that they attended or contributed to the AI Verification Think Tank Roundtable Series. They may refer to the publicly announced purpose, themes, locations and organisations involved, and may describe a formal event role where that description is accurate.
Participants may identify or tag another attendee only where that person is comfortable being publicly associated with the event.
The substance of the Think Tank discussions remains private. Participants must not disclose, quote, summarise, paraphrase or independently report anything said, discussed or disclosed during the roundtable sessions.
This includes comments, examples, disagreements, emerging findings, commercially sensitive information and any substantive discussion that arises from, or continues, the Think Tank sessions during breaks or lunch.
Participants must not attribute a view or comment to another participant or organisation, or publish their own account or interpretation of what was discussed.
Just Verify may publish an approved, synthesised and non-attributed report following the series. Participants may share that report and any other materials expressly approved for public use.
This approach is not the Chatham House Rule. Information discussed during the sessions may not be used or disclosed outside the event unless Just Verify or the original information owner expressly authorises it, and doing so would not reveal another participant’s contribution or the wider discussion context.
04Photography, recording and note-taking
Photography is permitted during designated non-session moments, including arrival, networking, lunch and organised group photographs.
- Obtain permission before photographing, posting or tagging an identifiable person. Anyone who does not wish to be photographed or publicly identified may inform the Just Verify team.
- Photography during active roundtable discussions is not permitted unless expressly authorised by Just Verify.
- Photographs must not capture private notes, screens, participant information, discussion materials or confidential documents.
- Audio recording, video recording, livestreaming, transcription and AI-assisted note-taking are not permitted during the roundtable sessions.
- Personal written notes may be taken for the participant’s own use, but must be handled confidentially and must not be published, circulated or used to disclose the substance of the discussion.
05Where the Code applies
This policy applies throughout activity that is reasonably connected with a Just Verify roundtable.
- Arrival and registration
- The formal roundtable sessions
- Breaks and lunch
- Networking and hospitality
- Dinners or related gatherings
- Virtual and hybrid sessions
- Event-related emails, messages and online channels
- Movement within the venue
- Conduct towards participants after the event where that conduct arises from access, information or contact obtained through the event
The confidentiality requirements continue after the event and do not expire when the roundtable or series concludes.
06Good-faith disagreement
Serious think-tank discussion may involve disagreement, challenge and scrutiny. This Code does not prevent robust debate conducted in good faith.
It distinguishes disagreement about ideas, evidence and assumptions from conduct that targets, humiliates, threatens, intimidates or excludes individuals.
07Raising a concern
Concerns should be raised as early as reasonably possible.
- During an event, speak privately to the moderator, event lead, a member of the Just Verify team or a designated venue contact.
- Before or after an event, email rbundy@justverify.ai.
- Concerns may relate to conduct, confidentiality, safety, accessibility, personal information or the integrity of the event.
- Where immediate safety is at risk, contact venue security or emergency services as appropriate.
- No participant may retaliate against a person for raising or supporting a good-faith concern.
08How concerns may be handled
Just Verify will consider concerns in good faith and as discreetly as reasonably possible.
- Informal reminder or intervention
- Private warning or direction
- Redirection or restriction of participation
- Pause in participation
- Immediate removal where reasonably necessary
- Written follow-up after the event
- Restricted or declined invitations to future events
- Notification to a relevant organisation, venue or authority where appropriate
Just Verify may share relevant information with the venue, host, legal advisers, insurers, security personnel or authorities where reasonably necessary to address a concern, protect participants or comply with law.
09Serious misconduct and acknowledgement
Just Verify may remove a participant immediately where conduct presents a safety risk, involves serious harassment or intimidation, breaches the Public Participation, Private Discussion requirements, involves prohibited recording or materially undermines the integrity of the event.
An invitation does not create an unconditional right to attend or remain at a roundtable.
By accepting an invitation and attending a roundtable, participants agree to follow this Code of Conduct and Participation Rules. Just Verify may update event-specific operational guidance where reasonably necessary and will communicate any material changes to participants.
